Thermal Printer Setup: Guide for Bluetooth, USB, and Network
Bought a thermal printer but confused about connecting it? Here's a guide for the three most common connection types.
Why Thermal Printers Are the F&B Standard
Thermal printers are the go-to in the F&B industry — fast, quiet, and reliable. But setup can be frustrating if you don't know what to watch for. This guide covers three connection types (Bluetooth, USB, Network) plus common troubleshooting.
Before You Start: What You'll Need
- Thermal printer — make sure it supports the paper width you want (58mm or 80mm). 58mm is the most common for cafe receipts.
- Thermal paper — buy decent quality. Cheap paper can cause print to fade faster and leave residue on the print head.
- POS device — tablet or phone with your POS app installed.
- Power source — make sure there's an outlet near the printer's position (unless it's battery-powered).
Bluetooth Setup
The most popular connection because of flexibility — no cable between printer and device.
Steps:
- Turn on the printer, ensure Bluetooth is active (usually indicated by a light)
- On your POS device, go to Settings → Bluetooth → Scan for devices
- Select the printer name from the list (usually model name or serial number)
- If prompted for a pairing PIN, try 1234 or 0000 (common defaults)
- After pairing, open your POS app → Settings → Printer → select the paired printer
- Test print!
Bluetooth Troubleshooting:
- Printer doesn't show in scan? Toggle Bluetooth off and on on both devices. Make sure the printer is in pairing mode (some require pressing a specific button).
- Connected but won't print? Make sure the printer is selected in the POS app settings, not just in system Bluetooth. Two different connection layers.
- Prints fail intermittently? Bluetooth has an effective range of ~5-10 meters. If the printer is too far or there's interference (WiFi, microwaves), connection can be intermittent.
USB Setup
The most stable connection — zero delay, never disconnects.
Steps:
- Connect the printer to your device via USB cable (may need a USB-C to USB-A adapter depending on device)
- Most devices will auto-detect the printer
- Open POS app → Settings → Printer → select USB printer
- Test print!
USB Troubleshooting:
- Device doesn't detect printer? Check the cable — charge-only cables (no data line) won't work. Use a data cable.
- Garbled output (random characters)? Usually an encoding mismatch. Check printer settings in the app — ensure encoding matches (typically UTF-8).
Network Setup (WiFi/LAN)
Best for multi-cashier — one printer accessible from multiple devices.
Steps:
- Connect the printer to the same WiFi network as your POS devices (usually via the printer's settings panel or the manufacturer's utility app)
- Note the printer's IP address (usually printable via the self-test button on the printer)
- In POS app → Settings → Printer → add network printer → enter IP address
- Test print from each device that needs to connect
Network Troubleshooting:
- Printer not reachable? Make sure the printer and device are on the SAME WiFi network. If you have separate networks (customer WiFi vs business WiFi), the printer must be on the same network as the POS.
- IP address keeps changing? When the router restarts, the printer's IP can change. Set a static IP in the printer's settings to prevent this.
Maintenance Tips
- Clean the print head periodically. Dust and paper residue accumulate over time and can cause streaky or faded prints. Use a cotton swab lightly dampened with alcohol.
- Store thermal paper in a cool, dry place. Heat and humidity cause thermal paper to darken or fade before use.
- Don't let the printer run completely out of paper. Some printers don't handle the very end of a roll well (it can jam). Replace before it's fully empty.
- Restart the printer regularly. Like any device, a weekly restart can prevent weird issues.
Choosing Paper Width: 58mm vs 80mm
- 58mm: Smaller, cheaper, sufficient for standard cafe receipts. The most common choice for cafes and small food shops.
- 80mm: Wider, fits more info per line. Better if your receipts are long (many items per transaction) or you want a larger logo printed.
